PTA Meeting Recap: March Updates & What’s Ahead

Thank you to everyone who joined our recent PTA meeting! We’re excited to share important updates, upcoming events, and how we’re continuing to support our students, teachers, and school community.

School Updates from Mr. Malone

We’re heading into a busy and exciting stretch of the school year!

  • Kindergarten Orientation is taking place this week for incoming families—an important opportunity to welcome new students into our community.

  • Parent-Teacher Conferences are happening with early dismissal days. Teachers are looking forward to connecting with families and setting goals for the remainder of the school year.

  • Spring Break begins April 3.

  • We’re especially excited for the 30th Annual Wax Museum on March 31! This beloved tradition returns indoors this year, with enhancements supported by a PTA teacher grant to create an even more immersive experience.

PTA Financial Update & Transparency

We want to continue being open and transparent with our community.

Earlier in 2024, financial discrepancies from a previous administration were identified and reported. While the investigation is ongoing, the current PTA board has worked diligently to:

  • Correct past financial records and tax filings

  • Implement stronger financial systems

  • Ensure responsible and transparent operations moving forward

Over the past year, PTA funds have gone directly back into our school through:

  • Teacher grants and classroom support

  • Staff appreciation events

  • Student programs like the Book Fair, Field Day, and more

  • Providing yearbooks for students and teachers

This year, our budget is much tighter, and most of our funds are allocated to ongoing programs like Pizza Day and essential end-of-year events.

Why Our Spring Fundraiser Matters

Our upcoming Spring Fundraiser at the Bell & Anchor is our primary fundraiser for the year.

To continue supporting our school, we aim to raise approximately $17,000–$22,000, which will allow us to:

  • Fund remaining events like Field Day, Beach Day, and grade-level activities

  • Support student enrichment opportunities

  • Begin the next school year with a modest financial cushion

We are also currently seeking donations for our raffle and silent auction, and greatly appreciate any contributions from our community.

Upcoming Events & PTA Support

Here’s a look at what’s coming up:

  • 3rd Grade Field Trip to Amber Waves Farm

  • Book Fair (April 27 – May 1) – Volunteers will be needed!

  • Yearbooks

    • Lower cost this year to keep them accessible

    • A new sponsorship option allows families to help cover the cost for others

    • PTA will ensure all students and teachers receive a yearbook

We also continue to support smaller, day-to-day needs—from recess supplies to classroom materials—that help enhance our students’ daily experience.

Fifth Grade Events

Fifth grade celebrations, including the dance and graduation, are organized by fifth grade families, with support from the school and PTA. A planning meeting will be held after spring break for interested parents.

As we begin planning for next year, we are looking for volunteers to join our PTA board. We will have openings for:

We are also forming a nominating committee to help identify and recruit new board members. Whether you have a little time or a lot, your involvement makes a difference.

PTA President Yavanna Gettling: Hello everybody. Can you hear me? Thumbs up or the high five if you can hear me. Thank you. Okay, great we can get started. I'm going to share my screen here.

Matt Malone: Is everybody in Yavanna?

PTA President Yavanna Gettling: Ok, Mr Malone, if you want to give us your update. we can probably give it a few more minutes.

Matt Malone: I see it. All right. Yeah, I can start if you'd like.

PTA President Yavanna Gettling: Yes. Let's start with your update. That would be great.

Matt Malone: All thanks Yavanna and everyone for coming together tonight. I guess the important update from me would be just some of the big events that are approaching. So, I guess just to go in chronological order, Wednesday we have our kindergarten orientation.

Matt Malone: So, this is an informational session for families of students who are either currently at the Sag Harbor PreK or in any other prek or nursery programs in the area. If children reach the age of five by December 1st, 2026, then they are eligible for kindergarten. So, I guess it's possible that there could be children that maybe aren't even in a school program right now. And if they do reach five by December 1, they're eligible for our kindergarten at Sag Harbor Elementary. So, we encourage any families that are interested in learning about the program to attend.

Matt Malone: It's a great chance to see the school, meet our wonderful faculty and staff, specifically spend time in the kindergarten classrooms and hear, the great things that are in store for the children come September. This Thursday and Friday, we know we have early dismissal and the elementary K through five building will release children between roughly 11:05 and 11:15. we really try to stick to that so that the buses roll at 11:15 provides our teachers an opportunity to grab lunch and then welcome parents and guardians in the afternoon on both Thursday and Friday as opposed to the fall. There is no evening session during these spring conferences.

Matt Malone: So, our teachers have already set up appointments with families and of course, they're looking forward to meeting with them, talking about the great things that have been accomplished, and there we were talking as a faculty last week, they're still roughly a third of the school year. So, there's still a lot that can be accomplished and, we want to set those goals for the spring and work together on that. if for some reason any families have been questioning appointment times or been having difficulty figuring out the schedule for Thursday and Friday, we please ask them to call the main office tomorrow, Wednesday, and we'll help them. we have translators that will be available both days. So, that will be supportive for some of our families that need that help.

Matt Malone: and we're just looking forward to some great conversations. We will be approaching the spring break 2nd which is a Thursday, April 3rd a Friday and then it rolls into that next week. So it's a pretty long break. Right before that we have our 30th annual wax museum which is hard to believe that it's been going for 30 years but it's a great event. The fifth grade classes have been working so hard in preparation for that. That is March 31st, which is the Tuesday before the vacation. And all the children in the elementary school have an opportunity to go through the museum.

Matt Malone: the parents of course of the fifth graders, but we encourage all members of the community if they can, just steal away from work or obligations for even, 15 20 minutes and you can come see something really special. We set it up in the gym and a really big thank you to the PTA this year. For those that are familiar with the wax museum, probably the I guess since COVID, so the last four or five wax museums have been outside, which was very nice, but being outside presented some challenges and we shifted back into the gym and to a person we felt that it kind of brought back some of the ambiance that was lost and that feel of a authentic museum feel.

Matt Malone: And the teachers had some really good ideas and approached the PTA and the PTA generously supported a teacher grant to bring in some new aids that will help with the setup and we think it's going to even be more museum like this year. So we're really looking forward to that and like I said I really just encourage all members of the school community to come out. it's a big deal for our school and the whole district. So, we're looking forward to it. And I know you have other upcoming events noted on the agenda. So, I think I could leave it at that. And I'll be available to answer any questions. If anyone has any questions about the things I mentioned or questions that might come up through the meeting, I'm here.

PTA President Yavanna Gettling: Yeah, thank you so much for that. we're looking forward to it's always such a wonderful event. so yeah, we had a big teacher grant for the wax museum this year. and that was I think we mentioned in last the PTA meeting before, but it was the stands and lights for reading just to help make it again make it feel a little bit more put together and give it that sense of importance that it should because it's such a wonderful event and I can't believe it's been going on that many years. It's so great.

PTA President Yavanna Gettling: Especially for those fifth grade, it's like a memory that will stay with you forever. so I want to just quick I know there's been some questions circulating regarding things that have happened recently and where as far as our finances go. So, sorry, There's somebody trying to get in. and I just have to There we go. I don't know why it some of them need to be let in and everybody else just gets in. But there we go. All right. So, I'm going to read a quick statement.

PTA President Yavanna Gettling: And then we'll go over some finances with our treasurer and if there are any questions we will do our best to answer them. So, I just wanted to take a few minutes to share a brief update with you all u regarding some questions that have been circulating about the PTA and our finances and some things that have happened recently. at the beginning of 2024, financial discrepancies from a previous administration were discovered. and the current board at the time we all were working on it. the board that we have now were not involved with these activities nor were they present at the time of this discovery.

PTA President Yavanna Gettling: But when we were made aware of the situation, we immediately reported to our national PTA and to our local police. because the process is still ongoing, we're not really able to comment further on the investigation, but our focus since then has been making sure the PTA is operating responsibly and transparently as best we can. Over the past year, we've spent a lot of time cleaning up the past issues, correcting tax filings, and making sure our financial systems are in good order. Last year, the membership voted to use funds that accumulated over time to support the school community in meaningful ways. As you know, we're not allowed to carry over funds from fiscal year to fiscal year. So, we were in a place where we needed to do something important with those funds.

PTA President Yavanna Gettling: One area we prioritized was supporting our teachers and staff. so we had a large sum that was earmarked for teacher appreciation, classroom support, including teacher grants, classroom materials, books, etc. We did appreciation lunches, coffees, you name it. teacher appreciation week had fantastic events. We did, sushi. We had massage people coming into the school. So, it was a really amazing year as far as being able to show our appreciation to our teachers and staff. We also as a membership voted to do holiday and endofear gifts for the staff, which we made sure were compliant with the policies that are necessary for our district.

PTA President Yavanna Gettling: We also supported many student programs and traditions that our kids enjoy throughout the year including the turkey trot, the bookf fair, wax museum. We did a wait till 8 assembly last year. We support field day and beach day, the back to school fifth grade events. We supported the fifth grade dance last year. and we also purchased yearbooks for the entire school. So there were a lot of things that we did last year. we had a big fund so we used a lot of the work we do happens behind the scenes. for example, pizza day every Monday is fully organized and run by PTA volunteers, ourselves on the board as well as parents. and it's a big job. we work on communication with our pizza vendor. it's an event every week.

PTA President Yavanna Gettling: We plan it, we coordinate it, and we support the teachers and the school, while we're doing it. in terms of finances, this year, the PTA's, bank balance has been pretty like this. I mean, I'll let my treasure go into this more, but, we have not had more funds this year than were necessary. Most of what we keep and have in our bank account covers pizza day and basic operating costs. so our need for a fundraiser is basically to get us through the end of the year to support the already spoken for events. we have an upcoming Amber Waves Farm field trip for the whole third grade. We're going to do another spring edition for that earmarked there.

PTA President Yavanna Gettling: We have about 13 pizza days left. So, I think it's about 16 or roughly 17 thousand dollars that is going to be going strictly to pizza day. and those were funds that were already paid by parents and and then we have, some of our other endofear events that we support, like I had mentioned before, the field day, beach day, and most likely again, the fifth grade dance. I think last year we did pizza. so from that, I'm going to segue into calling o our treasur to help walk us through. We've got a profit loss, a P&L report to share with you guys.

PTA President Yavanna Gettling: as well as a budget for the upcoming events for basically the end of this year and what we think is necessary going into the end of the year. going into the next school year, which would be into 2027. So, I'm just going to pop that on the screen for Emily, do you want to start with the P&L or…

PTA Treasurer Emily King: So, I mean nothing's really changed from the last month except for pizza day. we've spent $16,414.74 on pizza supplies this year we have spent $950.90. let me see. School decorations 661.21.

PTA Treasurer Emily King: Teacher appreciate this is starting July 2025 just so teacher appreciation is so far 5,128.26 and teacher grants are 1437.72. other than that just office supplies and dues. today, as of today, we have a bank balance of $25,49. There are three checks outstanding to American Pi for they total 3,577. So, the bank balance after those cash will be 21,83117.

PTA Treasurer Emily King: Do you think you can get the budget up? Want to try for that?

Emily King: It won't let you. so far for the budget, we have Bell & Anker for the fundraiser is going to cost us 2,150. Pizza day will be roughly 16. we did this before today, but it was 16,630.88. yearbooks, we will need 10,500 to purchase them all. I believe we spend the money first and then we sell them.

PTA President Yavanna Gettling: So actually we found out we don't actually pay…

PTA President Yavanna Gettling: until they ship and that's not until almost beginning of June. yeah, so we'll have and on that No,…

PTA Treasurer Emily King: But we'll have to front that 10,000 before we can sell the yearbooks to who wants them. Correct. Okay.

PTA President Yavanna Gettling: because people will purchase them before they're shipped also because they're going to be on sale. ject. yearbooks will be on sale and will also have ads available today. I think Anna said that it's up and going. and I know we people asked if we could again purchase yearbooks like we did last year. because our budget is so much smaller, we thought instead we would fund raise the oldfashioned way, asking people to sponsor a yearbook and that way we make sure that we purchase all the yearbooks for those who can't afford them. I do want to I also have two checks that came in from picture day and yearbook from last year or this previous year.

PTA President Yavanna Gettling: And so we have about 4,000 that will be hitting our bank account also with that. So that'll help towards offsetting the cost of yearbooks for those who can't afford to pay for them. we're also going to be giving the whole fifth grade free ads as well as we brought the ad price down to $10 because I believe last year it was 40 or 80. it was really high and we looked at the cost of it.

PTA President Yavanna Gettling: It doesn't cost us hardly anything. So, we decided it didn't make sense to charge for it if it's something we'd rather just not make money on. So, there you go. I'll let you finish. Sorry.

And like I said previously, we have about 21,83117. we would also like to start the school year 2026-2027 with roughly 5 to 10,000 to make sure that we have money for back to school picnic. I also do want to add that I have Yvana and I went through a couple years back. So I have detailed transactions from the school year 23 24 25 and this current year. So if anybody is interested in any reports or transactions they can reach out to me. I'm not going to bother everybody with it. They can reach out to me and I can share any reports they want to look at.

PTA President Yavanna Gettling: And we We have a book, right, that has all of that in there, too, right?

PTA Treasurer Emily King: What do you mean a book? It's all in QuickBooks.

PTA Treasurer Emily King: The binder is all bank statements and Thank you, Bank statements and reconciles. and I print out the profit and loss and the balance sheet at the end of each school year. so I can share any report from QuickBooks that anybody is wanting to see.

PTA President Yavanna Gettling: And we have a P&L also for last year because we started QuickBooks last year also. So it does have last year's in there too. okay.

PTA Treasurer Emily King: Yeah, it's got the last years and the year before that.

PTA President Yavanna Gettling: Yeah, great.

PTA Treasurer Emily King: Yeah, we did three years or two.

PTA President Yavanna Gettling: That's All So, I think should we open up the floor if there's any questions regarding this? If we can maybe raise your hands, that would probably be the best. Or just call out or you could put it in the chat. Okay. Okay.

PTA President Yavanna Gettling: So, our goal, for the fundraiser, Emily, you have your little budget there, is mostly just to, pay for what is necessary for the end of the year. make sure that we have a small cushion for the new school year to pay for the basic back to school stuff. and then planning on again this being our once a year fundraiser. last year we had two fundraisers. There was the clubhouse fundraiser and then we did the spring fundraiser.

PTA President Yavanna Gettling: And for what our school budget is, what we need, I think one annual fundraiser is plenty. if we plan it accordingly. last year, I believe we made 23,000 at that one fundraiser. So I feel like a pretty good chunk to be receiving for a school. PTA.

PTA President Yavanna Gettling: Of course, if we get to a point where we have something specific that we want to fund raise for, if there's a really amazing assembly or something the school needs that is not within the budget for the district and it's something that the PTA could assist with, then we could always do a specific fundraiser for that item or for that need. so going forward, I think that would be, a good idea. So I think Emily, what did we say we roughly need to make at this upcoming fundraiser?

PTA President Yavanna Gettling: we are looking for donations and anything for the raffle or for silent auction. So if you have something or someone you would like to offer up just send us an email or reach out to one of us. so I wanted to quickly I did mention the third grade trip to Amber Waves Farm, but another little thing that happens quite often is I will get a text from someone from school that is saying, we really need, games for the afterchool teachers for shape or we need chalk for the kids at recess." so little things like that happen throughout the year that the PTA helps with to make sure that, our kids have little things like that to keep them going and to keep things fun.

PTA President Yavanna Gettling: Like I mentioned before, the yearbooks are on sale now. and you go on I'm going to be sending out an email with the links. Anna also made a template for Canva for your ad. So, all you have to do is go on into the template, create your ad, and then you would upload it to the Pictavo yearbook website. so, we're going to put together an email that again kind of reminds you how to do it. It'll have the links that way it's a little bit less challenging.

PTA President Yavanna Gettling: And then if we all are okay with it, I would like to suggest us doing a sponsor specific idea versus us paying for all the yearbooks. we were able to bring the cost down on the yearbooks I think she said our cost is roughly $23. So we said 25 versus last year I think we did 30 I think or it might have been more. and then we brought the fee for the ads down to $10 versus 40 or 80. so it's very affordable. we'll create a sponsor yearbook. That way when you're buying your yearbook, if you want to sponsor another child's yearbook, you can. And then we will pay for anybody who cannot afford to buy their own. and we'll work with Miss Grant and Mr.

PTA President Yavanna Gettling: alone to make sure that we have that list of people and they get their yearbooks and then we always make sure that all the teachers get their yearbooks as so that will be another part of what the PTA will pay for. I feel like the upcoming somebody said to me yesterday there's no school that there's they asked why there was no shape on Thursday. And I answered with I believe that it is fully booked. and that there might be still space in Friday, but if you go on and you see it's not allowing you to book, it's because it's probably fully booked. and that means dismissal will be at 11:05 11:15. I believe 11:15 is when the buses will roll.

PTA President Yavanna Gettling: And then that's both Thursday and Friday. and then we have our yearly book fair coming up as well April 27th through May 1st. We're going to be sending out links to volunteer. It's such a wonderful event and if you've never volunteered for it, it is really really wonderful. It's so fun to watch the kids run through and pick their books. and this is another big fund from the PTA. We purchased books for any child who can't afford to. last year we purchased books for just a lot of kids who just forgot their money didn't have enough and they really wanted this one book. so that's something that we do from last year. We have 4,000 something dollars in scholastic dollars.

PTA President Yavanna Gettling: So we'll be able to utilize those dollars to purchase books for teachers. so every teacher will get a list of books and they can pick them out themselves and then we will purchase that parents do have an opportunity to also buy the books for their teachers if they want. But whatever is left over, the PTA buys so that we make sure that the teachers get what they need for their classroom and any kid who can't afford to buy a book or doesn't have enough money will also be taken care of. where was I going to say it? the fifth grade dance.

PTA President Yavanna Gettling: So, I had somebody ask me how they could volunteer for that. And the PTA has historically not handled the fifth grade dance or events. so, usually a fifth grade parent will volunteer to organize it and kind of chair that position. I don't know. Nobody's come up to me, but Mr. Malone, has anybody come forward to talk to you about it or

Matt Malone: Not specifically. Typically, we'll hold the meeting sometime after the spring break once everyone gets back. What we have the two big fifth grade events coming up which are the fifth grade graduation or celebration that'll be the 18th of June and then the following week we'll do the dance. So, at some point after the break,…

PTA President Yavanna Gettling: however the PTA can support last year, we're happy to make it as amazing as we can. So it's okay, so that's pretty much it. So, let's do a show of hands for the yearbooks if everybody is okay with that suggested sponsor yearbook instead of the PTA paying for all Any nays? No. All right. And then again, if we can get a show of hands if everybody approves and is okay with the budget or if there are any questions or concerns or comments regarding that. So, we vote that the budget is passed or fails.

PTA President Yavanna Gettling: All I don't think there is anything else. The only other last bit of business that I would like to share real quick is that again we are coming towards the end of 202526 and that means our current board we will have a position open for PTA president as well as a position open for secretary.

PTA President Yavanna Gettling: Heidi is moving up and so we will be losing her. so we could definitely use an influx of new board members. I have suggested that we have two presidents to really help support all that the PTA does. It is a big job. so if you're interested or anybody who's interested, please send us an email or let us know because we would love to get people on board. I also would like to, put it to the membership to the community to put together a nominating committee. So if there is anybody who would be interested in chairing a nomination committee, that would be to help us find

He said after the spring break, he will call a meeting and that will be specifically for the fifth grade parents and to discuss the events and putting together plans and the PTA will support as we have in the past with a pizza for the fifth grade dance but the PTA doesn't organize or run the celebrations but we're happy to help if you need help communicating with each other or getting a hold of or doing anything obviously.
